The number that matters is downtime
Commercial quotes get compared on price, but for most small businesses the packing bill is small next to a day with the doors shut, or staff packing on the clock instead of working. That’s why many businesses ask for evening and weekend packing: close Friday, pack Friday night and Saturday, move Sunday, open Monday.
Ask providers whether they charge more for evenings and weekends.

What packers typically handle — and what they don’t
| Packers typically handle | Someone else handles |
|---|---|
| Desk contents boxed per person and labeled by name | Server decommissioning and rack removal |
| Files and archive boxes, kept in order | Network cabling and patch panels |
| Monitors, keyboards and peripherals | Data destruction and certified shredding |
| Breakroom and kitchen items | Anything under a lease or maintenance contract |
| Reception, signage, art and displays | Fixed medical or salon plumbing |
| Retail stock and fixtures | Alarm and access-control transfer |
Labeling that survives a real office move
Residential labeling is by room. That falls apart in an open-plan office. Ask for labeling to the new floor plan:
- Floor plan first — every zone numbered before a box is taped.
- Person, not room — desk contents boxed per named person.
- Sequence-numbered files — so a filing system reassembles rather than reshuffles.
- A day-one box per zone — chargers, kettle, first-aid, the things that stop work if missing.
Sectors that often need this
- Professional offices — accountants, agents, insurance, small legal practices
- Medical and dental practices — non-clinical areas; regulated items handled separately
- Salons and studios — lots of small breakables and stock
- Small retail — stock counted into cartons as it’s packed
- Home offices — often part of a residential move
If the move involves regulated storage, controlled substances or patient records, raise it with providers up front and get the scope in writing.
Commercial packing — questions
Can packing happen while staff still use the space?
Often — many providers pack in zones over several evenings.
Can packers handle confidential files?
Ask providers how they seal and track confidential boxes and whether they’ll sign your confidentiality agreement. Shredding is a separate service.
How far ahead should a business request quotes?
Three to four weeks is a sensible minimum; month-end and quarter-end are busy.
Can the provider unpack at the new office?
Often, and for businesses that’s where much of the downtime saving lands.
